A recurring conversation I’ve had with designers this week is: "How do I create and track budgets for my design clients?"

There are a few key practices I lean on to keep both the client and the project on track. First, I make sure the client clearly understands their budget—and what it realistically allows for. One of my favorite tools for this is a Budget Reference Guide, which I share during our initial consult.

From there, I build the budget into the Design Proposal and Contract so expectations are clear from the start. Inside my project management software, I also map out the budget in detail and build proposals that my client can review and approve—keeping everything organized and transparent.

3 Tips: Keep Budgets (and Boundaries) in Check

  1. Set the tone from the start Before you start sourcing or sketching, make sure your client understands the budget range and what’s included. A clear welcome packet or onboarding guide goes a long way.
  2. Build in buffer zones Whether it’s time or money, pad your estimates. That 10–15% cushion can help you handle surprises without stress (or unpaid overtime).
  3. Use “Pause + Approve” points Insert key decision moments into your process—phases where the client must approve deliverables or budget increases before moving forward. It protects your time and keeps them accountable.
