The Business Terms I Hear Used Interchangeably (But They're Not)

One of the things I love about working with interior designers is that they genuinely want to improve their businesses.

They know they need better systems.

Or maybe it's workflows.

Or perhaps they need to document their processes. 🧐

The funny thing is...

Almost every designer uses those three words interchangeably.

And honestly, I did too.

But over the years, I've realized that understanding the difference changes how you solve problems.

When a designer tells me,

"My systems aren't working."

My first question is usually,

"Which system?"

Because sometimes it isn't a system problem at all.

Sometimes the process isn't clearly defined.

Sometimes the workflow is creating unnecessary friction.

And sometimes the tools are perfectly fine; the experience simply hasn't been intentionally designed.

As designers, we instinctively know that every beautiful home begins with a plan.

We don't choose fabrics before we know the furniture piece they are going to go on.

We don't order furniture before we've established the floor plan.

Everything has a purpose.

Your business deserves that same thoughtful approach.

This week, let's bring a little clarity to three of the most commonly misunderstood words in business.

PROCESS,SYSTEM, OR WORKFLOW?

📐 Process: The Journey

It's tempting to focus on the fun things; branding, websites, software, and social media.

But before any of those things matter, ask yourself:

How is my business actually designed to operate?

Do you have a clear client journey?
Do you know what happens after an inquiry arrives?
Can someone else step in and understand your process?

The foundation always comes first.

📐System: The Support

A system is everything that supports your process and helps it happen consistently.

It answers:

What supports the journey?

Your onboarding system might include:

  • Your CRM
  • Email templates
  • Proposal template
  • Contract
  • Questionnaire
  • Automations
  • Client Portal
  • Policies

The system isn't one piece of software.

It's the collection of tools, templates, and resources working together.

📐 Workflow: The Movement

A workflow is how each step moves from one to the next.

It answers:

How does this actually happen?

For example:

  • Client submits inquiry.
  • CRM creates the project.
  • Investment Guide is automatically sent.
  • Client books a Discovery Call.
  • Proposal is prepared.
  • Contract and invoice are sent.
  • Welcome email is triggered.

That's the workflow.

It's the movement behind the scenes.

This Week's Workshop

🛠️ Choose One Process

Instead of trying to organize your entire business this week, choose just one process.

Maybe it's:

  • Client inquiries
  • Onboarding
  • Procurement
  • Installations
  • Offboarding

Write every step on a sheet of paper from beginning to end.

Don't worry about making it perfect.

Just get it out of your head.

Clarity always comes before improvement.

🛠️ Find the Friction

Now ask yourself three questions:

  • Is this a process problem?
  • Is this a system problem?
  • Or is this a workflow problem?

You may be surprised how often you've been solving the wrong problem.

When you identify where the friction actually exists, the solution becomes much clearer.

CEO Reflection

☕ As CEOs, it's tempting to jump straight to finding a better tool.

A new CRM.

A different project management platform.

Another automation.

But tools rarely fix unclear thinking.

This week, before you change another piece of software, ask yourself:

Am I trying to fix a process, improve a system, or streamline a workflow?

Because once you understand the difference, you stop reacting to problems...

One of the reasons I started this newsletter is because I know how lonely business ownership can feel.

Over the years, I've learned that when things feel overwhelming, the answer usually isn't to work harder. It's to find more clarity. Asking the right questions has helped me make better decisions, simplify my business, and create more space for the work I love most.
